Call for Applicants – Join the 2025 NAEHCY Conference Planning Working Group!

Are you passionate about conference planning, professional development, event management, or volunteer coordination? NAEHCY is seeking 8-10 dedicated individuals to join the 2025 Conference Planning Working Group!

This year we are excited to welcome NAEHCY members and stakeholders to Dallas, Texas for an information-filled and inspiring four days, Saturday, November 1 – Tuesday, November 5, 2025. Don’t miss this opportunity to be part of an incredible team dedicated to making the 2025 NAEHCY Conference a success!

As a Working Group member, you’ll play a key role in shaping our annual conference, helping to create an impactful and engaging experience for attendees. In recognition of your contributions, selected members will receive:

  • Complimentary registration for the 2025 NAEHCY Conference
  • Free hotel accommodations during the conference at the Hyatt Regency Dallas
  • $250 stipend to cover some expenses (payable via reimbursement with appropriate receipt documentation)
  • Travel expenses, meals outside of conference programming, and incidental costs are not covered.

Q: How many people serve on the NAEHCY Conference Planning Working Group?

The Conference Planning Working Group consists of representatives from NAEHCY Staff, the Board of Directors, representatives from the conference host city and state, and NAEHCY’s professional event planning partner. This year, we are excited to recruit enthusiastic NAEHCY members with an interest in event management and professional development to apply and join this dynamic team!

Q: What is the time commitment for the Conference Planning Working Group?

  • June – November: Weekly one-hour meetings
  • Ongoing Responsibilities: Working Group Members are assigned tasks that typically require 2-4 hours per week leading up to the conference
  • Two weeks before the conference: Increased preparation time, approximately 5-6 hours per week
  • During the conference: All Working Group Members have designated responsibilities, averaging 4-5 hours per day

Q: If I join the Conference Planning Working Group, may I attend all of the sessions at the conference for professional development?

Working Group members can attend conference sessions that do not directly conflict with their planning duties. Generally, members are able to attend:

  • All general conference sessions
  • More than 70% of breakout sessions, depending on assigned responsibilities

Q: Where will the 2025 NAEHCY Conference be held?

The 2025 NAEHCY Conference will take place in Dallas, Texas, from November 1–4, 2025, at the Hyatt Regency Dallas. The pre-Conference Begins: Saturday, November 1, 2025, and all Working Group members are expected to arrive 2-3 days before the pre-conference to assist with final preparations.
